Answers from your own documents, with a reference

Allikas is a search tool for the documents of your company or public body. You ask in plain language. Under the answer you see the document and passage it came from.

  • Estonian-language interface
  • Can be installed on your server
  • A reference under every answer

For small and medium-sized companies and the public sector. In the demo we try one question on your own documents. If the answer is not in your documents, Allikas says it did not find it. Write to us: silver.tatte@brrr.ee

The Allikas app: a question about a reply deadline, the answer 15 calendar days and a document reference. The Allikas app: a question about a reply deadline, the answer 15 calendar days and a document reference.

An example on invented data from a fictional municipality, Näidisvald. You ask: “Mis tähtajaga peame vastama elaniku selgitustaotlusele?” (the deadline for answering a resident’s request for explanation). Allikas answers: 15 calendar days from registration.

The answer exists. Nobody can find it.

Information is spread across places.

The reply about snow clearing is in an email. The tender summary is in a folder and the offer is in Excel.

An employee leaves.

When a specialist leaves, the successor does not know why the Metsaküla road was ploughed too late in December.

The same question comes back.

A new employee asks the same thing. A colleague stops work to find an answer someone already wrote.

Public sector: you answer a memorandum or request for explanation within 15 calendar days of registration (MSVS § 6). This applies since 28 December 2024. MSVS is the Response to Memoranda and Requests for Explanations Act. You answer a request for information within 5 working days (AvTS § 18). Older reply letters still say 30 days.

Find an answer in three steps

Give Allikas your documents.

For example the records rules and contracts. Emails, a Teams channel export and Excel spreadsheets work too.

Ask the way you would ask a colleague.

For example: “What price did we offer the same customer last time?”

Open the reference and check it.

Under the answer you see the document and passage, for example asjaajamiskord.docx, point 3.

We set access per folder.

You decide who sees what

Everyone sees their own folders.

The accountant sees invoices and sales sees offers. The administrator sees everything.

We filter before the AI.

A forbidden passage never reaches the search results or the AI.

Users and roles are visible in the app.

You see the users with their roles and folder access. Sign-in through SSO or TARA is in development. So are invitations and saving. In the demo you pick the user yourself.

Allikas does not mark documents “for internal use”.

The head of the authority or a designated employee does that (AvTS § 41). Allikas does not decide it.

Allikas can be installed on your own server

Then Allikas, with its index and your API keys, sits on your server. We offer installation as a service. We are still planning the first installations.

You choose the AI provider.

Azure OpenAI in an EU data centre, OpenAI, Anthropic, Mistral, Gemini, or a model on your own server through Ollama.

With a model on your own server, data stays inside your organisation.

The question and the passages found stay on your server.

Allikas also works without AI.

Then Allikas searches by keywords and shows the passages it found, with no written answer.

The index and keys sit on your server. With a cloud AI provider, the provider receives the question and the passages found. API keys stay in your server’s environment file.

Examples from Näidisklient OÜ and Näidisvald documents

The examples are invented. The demo runs on Estonian documents.

  • A salesperson asks what the total offer to a customer was.
  • Offers sit in Excel. The salesperson asks a plain question and does not open every file.
  • The accountant finds an invoice and its status with one question.

A new hire finds the IT contact alone

In the first week a new employee has many questions. Who do I ask for a computer account? How do I get access to the document register? When does work end on Friday?

Usually they ask a colleague. Allikas answers from uue-tootaja-meelespea.md and ametikohad-ja-kontaktid.xlsx. The municipal secretary and the registry office do not have to repeat themselves.

Question:

I start tomorrow. Who do I ask for a computer account, and what is their email address?

Answer:

IT specialist Tarmo Kask, it@naidisvald.ee. Send him your job title and start date at least two days before you begin.

Frequently asked questions

Where does our data go?

The index and keys sit on your server. With a cloud AI provider, the provider receives the question and the passages found. With a model on your own server, or with no AI, data stays inside your organisation.

What happens if the answer is not in the documents?

Allikas asks the AI for an answer only from the passages it found. If it finds none, Allikas says it did not find an answer.

How is it different from Bürokratt?

Bürokratt answers residents about public services. Allikas answers your staff from your own documents.

Who sees what?

You decide that. The accountant sees invoices, sales sees offers, the administrator sees everything.

Does sign-in work yet?

The app shows users with their roles and folder access. Sign-in through SSO or TARA is in development. So are invitations and a query log. In the demo you pick the user yourself.

Is Allikas already in use?

Not yet. We are still planning the first installations. The demo runs on invented data from Näidisklient OÜ and Näidisvald.

Is AI required?

No. Without AI, Allikas searches by keywords and shows the passages it found.

How do I know AI wrote the answer?

A note “The answer was written by AI. Check the reference.” appears under it.

Who is the data controller?

Your organisation or company is the controller and Ringlahendused OÜ is the processor. We sign a written contract for this (GDPR art 28).

Does Allikas replace the document register?

No. Allikas helps find documents. Registration stays in the document register.

Which sources does Allikas answer from?

Your own documents. For example asjaajamiskord.docx, snow clearing emails, the construction Teams channel export and an invoice spreadsheet in Excel. Slack chats work too.

Who sets up Allikas?

We do. You tell us which folders to include and who sees what.

Does Allikas re-read changed documents?

Allikas re-reads only the documents that changed since the last reading. We start the re-reading by hand for now. Allikas does not decide whether a document is out of date. You decide that.

What does Allikas cost?

We agree the price after the demo.

Does Allikas make the decision for me?

No. Allikas finds the document and shows the passage. You make the decision.

Bring one real question to the demo

In the demo we show a question and an answer on invented data from Näidisklient OÜ and Näidisvald. Then we try one question on your documents.
